Who can see what in Pulse
How access works today
Pulse comes with the sales agent role. Anyone with a sales agent role who signs in to your store gets the Dashboard tab, and every Pulse page in it. Their role decides whose accounts and figures they see.
| Role | Pulse | Whose accounts and figures they see |
|---|---|---|
| Customer | No | None: they're not a sales agent. |
| Sales agent | Yes | Their own book: the customers they can see, set by the customer groups on their role card. |
| Sales administrator | Yes | The whole team. The Overview opens on Total company view, with the store's month and a By rep card ranking every sales agent. The Viewing as switcher opens any other agent's or administrator's book, with their sales, customers, quotes, carts and unpaid invoices. |
| Custom role | Yes | Their own book, like a Sales agent. |
Inside the book they can see, everyone with Pulse sees all of it: receivables, credit and margin figures, Download CSV on tables, Ask Sparkie and its insights. What they can change, such as a quote, still follows the Orders, Quotes and Customers permissions in their role.
What this means for your team
Before Pulse, a sales agent couldn't see other agents' or administrators' accounts at all, so this is a change for stores that already use the Sales administrator role. If you gave someone the Sales administrator role for its ordering permissions, such as changing prices, adding custom items or creating customers, they'll also see the whole team's sales in Pulse, including their manager's.
To see the whole team yourself, as a store owner or sales manager, you need a sales agent account with the Sales administrator role. There isn't a separate owner view.
Before you turn Pulse on
Pulse is in early access, so it only appears once it's turned on for your store. Check your roles first, so nobody sees more than they should.
- Go to Sales Agents,Agents (opens in your SparkLayer Dashboard in a new tab) and look at each agent's Role.
- For each Sales administrator, decide whether they should see the whole team's accounts and sales.
- If someone needs some Sales administrator permissions, such as changing prices or creating customers, but shouldn't see the team, give them a custom role with just those permissions instead. Open Sales administrator at Sales Agents,Roles (opens in your SparkLayer Dashboard in a new tab), click Duplicate, switch off what they don't need, then give them the new role. See Create a custom role.
- Check the customer groups each agent can see. Their Pulse book only includes those customers. See Restrict which customers a sales agent can see.
- If someone uses the sales agent role only to order for a few accounts, such as a customer buying for several of its own stores, remember they'll get Pulse too. Talk to our support team before you turn Pulse on.
More granular permissions
Soon you'll be able to choose exactly what each role can see and do in Pulse. Until then, use roles and customer groups as described above.
FAQs
Yes, today. A Sales administrator sees the whole team in Pulse, including other administrators, with the Viewing as switcher. To keep someone to their own accounts, give them the Sales agent role or a custom role instead. See Before you turn Pulse on.
Not yet. Everyone with a sales agent role gets Pulse once it's on for your store. More granular Pulse permissions for each role are coming soon. For now, to stop someone seeing Pulse, give them the Customer role, which also removes their sales agent access.
No. A Sales agent only sees their own book: the customers their customer groups allow. Only the Sales administrator role sees the whole team.
Yes, with a sales agent account that has the Sales administrator role. Pulse runs in the SparkLayer widget on your store, so you sign in there as a sales agent. See Sign in as a sales agent.
