# Task List

URL: https://docs.sparklayer.io/help/pulse/task-list

Keep on top of follow-ups in Pulse: add, complete and export tasks, reply to customer messages, work through today's queue and log calls and visits.

> **Pulse is in early access.** Request it for your sales team. [Request early access](https://feedback.sparklayer.io/get-started?choice=now). [Try the interactive demo](https://www.sparklayer.io/pulse/).

> **Quick summary**
>
> - The **Task List** in Pulse plans your day, in 3 tabs: **All tasks** (every follow-up you've promised, each linked to an account), **Messages** (customers waiting on your reply) and **Today's queue** (who to call or visit today).
> - **All tasks** groups open tasks as overdue, due today and upcoming. Add, complete, delete, search and export them as CSV, Markdown or plain text.
> - **Today's queue** suggests up to 12 accounts to contact today and why. Add them to your **Outreach plan**, prepare with the prep sheet, then log how it went.
> - On a phone, today's queue becomes a stack of cards with **Call**, **Directions** and **Prep** buttons, for working on the road.

## How the Task List works

Open it from **Task List** in the Pulse sidebar. The badge on it counts tasks that are overdue or due today, plus customers waiting on a reply. It turns red when any task is overdue.

| Tab | What it shows | Its count |
| --- | --- | --- |
| **All tasks** | Your tasks, with a **View** menu, search, **Export** and **Add task**. | Open tasks. |
| **Messages** | Orders and quotes your customers have written on. See [Reply to customer messages](#reply-to-customer-messages). | Customers waiting on your reply. |
| **Today's queue** | Who to work today, beside your **Outreach plan**. | Accounts in the queue. |

A task is **Overdue** once its due date has passed, **Due today** on its date and **Upcoming** before then. The Task List is always as of today: the date range at the top of the page doesn't change it.

## Work through today's queue

**Who to work today**, on the **Today's queue** tab, lists up to 12 accounts most worth contacting today, a row for each, each with its health score, the reason and what they usually spend.

1. Click the **Today's queue** tab.
2. Click **Today** on an account to add it to your **Outreach plan**. It then shows **Planned**.
3. Click **Prep** to read the [prep sheet](https://docs.sparklayer.io/help/pulse/records.md#prepare-for-a-call-or-visit) before you call or visit.
4. Click **Order** to order for the customer, starting from their usual basket. For a customer waiting on a reply, click **Reply** instead.

The queue is in this order, with the longest wait or the most overdue first:

| Reason, for example | When an account is listed |
| --- | --- |
| **Reply waiting · #1042** | The customer wrote last on one of their orders or quotes. |
| **Promised 2 days ago** or **Follow-up due today** | The account has an open task. It reads **Promised…** once the task is past its date. |
| **#1042 stuck 21 days** | Their latest order has been processing for at least 7 days, and at least 3 times as long as their orders usually take. |
| **6 days overdue** | They're at least 3 days past their usual time between orders. Only for accounts with 3 orders or more. |
| **Quiet 60 days** | They've gone at least 2.5 times their usual gap between orders without ordering, and more than 30 days. For an account without a regular rhythm, 91 days or more. Accounts quiet for more than 540 days aren't listed. |

With nothing pressing, the queue suggests the 5 accounts with the highest average order, as **Last ordered 12d ago** or **Worth a touch-base**.

**More detail**

Once you've logged outreach to an account today, it leaves the queue, unless the customer is waiting on a reply. Accounts with the same priority are ordered by their average order value. **Order** opens the order in your storefront, signed in as the customer, with their usual basket: see [Account, order and quote details](https://docs.sparklayer.io/help/pulse/records.md#order-for-the-customer).

## Plan your outreach

The **Outreach plan**, beside the queue, is the list of accounts you mean to contact today. It shows how many you've done so far, such as **1 of 3 done**.

1. Click **Plan outreach**, search your accounts by name or email, and click the one to add. Or, while the plan is empty, click **Plan** on one of the 3 accounts it suggests from the queue.
2. When you've spoken to them, click **Log** and record how it went. The account is struck through and marked **Done**, with the outcome underneath.
3. To take an account off the plan without logging anything, click the cross, then **Remove**. Anything you've already logged against them stays.

You can also add an account from its panel: open it and click **Actions** > **Plan outreach** at the foot. The plan is for today: tomorrow it starts empty.

## Log outreach

Log each call or visit so your plan, tasks and the account's timeline stay up to date.

1. Click **Log** in the outreach plan, or **Log outreach** on an account, a prep sheet or a card on your phone.
2. Under **How did it go?**, choose **Ordered**, **Quoted**, **No order** or **Couldn't see them**.
3. Optionally, enter the **Order value** or **Quote value**, add **Notes** and choose a **Follow up on** date.
4. Click **Save**.

**More detail**

Logging outreach marks the account as done in today's plan (adding it if it wasn't there), completes every open task for that account, and records the visit on the account's **Timeline**, such as **Visit logged · placed an order**. A **Follow up on** date adds a new task on that date, with your notes as its text. The value field only shows for **Ordered** and **Quoted**.

## Work on the road

On a phone, **Today's queue** shows each account as a card, with the contact's name, phone number and address, what their usual basket is worth, and large buttons:

| Button | What it does |
| --- | --- |
| **Call** | Calls the contact's number. Shows **No number** if there isn't one on file. |
| **Directions** | Opens the address in your maps app. Only shows when there's an address. |
| **Prep** | Opens the [prep sheet](https://docs.sparklayer.io/help/pulse/records.md#prepare-for-a-call-or-visit). |
| **Today** | Adds the account to your outreach plan. Once it's on the plan, this becomes **Log outreach**. For a customer waiting on a reply, it's **Reply**. |

## Reply to customer messages

Customers can write to you on their orders and quotes. The **Messages** tab collects those conversations, so nobody waits on an answer.

1. Click the **Messages** tab. **Waiting on you** lists the conversations where the customer wrote last, longest wait first.
2. Click **Reply on order** or **Reply on quote**. The order or quote opens at its timeline, ready for your reply.
3. Write your reply and click **Send as email**. It's emailed to the customer and shows on the order or quote in their account, when **Timeline and communications** is on for your store. See [Order timeline and messages](https://docs.sparklayer.io/help/customers/timeline.md).

To see every conversation, including ones you've answered, click **All conversations**: they're listed newest message first, with **Open order** or **Open quote**. Each row shows who wrote last, what they said, when, and how long the customer has been waiting, such as **Waiting 2 days**. With nobody waiting, the tab shows **You're all caught up**. To leave a note on the order or quote that only your team sees, click **Internal note** instead of writing to the customer.

## Add a task

1. On the **All tasks** tab, click **Add task**.
2. Click **Customer** and choose the account. It lists the 5 accounts with the most orders: search to find others.
3. Change the date if it isn't due today, and type what needs doing.
4. Click **Add task**.

**More detail**

Every task needs an account: without one, Pulse asks you to choose a customer. You can also add a task from an account: open it, go to its **Tasks & Notes** tab and click **Add task**. There you can add **Notes** for whoever picks it up, and tick **Share with everyone** so it shows in every rep's Task List. Otherwise only you see it. The Task List shows the task itself, not its notes.

## Complete a task

Click the circle at the start of the task (**Mark done**). It moves to **Done**, marked with today's date. To see finished tasks, choose **Done** in the **View** menu.

A done task can't be reopened. If there's more to do, add a new task.

## Find a task

1. Type an account name or a word from the task in the search box (**Account or task…**).
2. To narrow the list, click **View** and choose a view.

| View | Shows |
| --- | --- |
| **Open** | Every open task, grouped as **Overdue**, **Due today**, **Upcoming** and **No date**. |
| **Overdue** | Open tasks past their date, oldest first. |
| **Due today** | Open tasks due today. |
| **Upcoming** | Open tasks due after today, soonest first. |
| **Done** | Tasks you've completed. |

Each view shows how many tasks are in it. Every view except **Open** shows 20 tasks a page. Click an account name or a task to open the account on its **Tasks & Notes** tab, or **Prep** for its [prep sheet](https://docs.sparklayer.io/help/pulse/records.md#prepare-for-a-call-or-visit).

## Delete a task

1. Click the bin icon at the end of the task (**Delete this task**).
2. Click **Delete task** to confirm. The task is removed from every list, and this can't be undone.

Delete a task that no longer matters, such as a follow-up for an order that came in another way. You can delete done tasks too.

## Export your tasks

1. Click **Export**.
2. Under **Download**, choose **CSV**, **Markdown** or **Plain text**.

The file, such as `pulse-tasks-2026-10-19.csv`, lists every task, open and done, by due date, whatever view or search you have on screen. It has 4 columns: **Due**, **Account**, **Task** and **Status** (**Done**, **Overdue**, **Due today** or **Upcoming**). Use CSV for a spreadsheet, or Markdown or plain text to paste into notes or an email.

## How tasks get on the list

You add most tasks yourself. Pulse also adds one when you:

| Action | Task added |
| --- | --- |
| Log outreach with a **Follow up on** date | A follow-up on that date, with your notes. |
| Mark a quote or invoice reminder as sent | A check 3 days later, such as "Check quote QT-118 after the reminder". See [Send a reminder](https://docs.sparklayer.io/help/pulse/records.md#send-a-reminder). |
| Click **Contact** on a trade application in the Overview, or **Add a task to call** on the application | A call to the applicant today, with their name, company and phone number. |
| Click **Add a nudge task** on a cart | A nudge today about the basket they left, with its value and number of lines. |
| Click **Add a task** on an invoice | A reminder today to chase it, such as "Chase invoice INV-1001 — $540, 12d overdue". |
| Click **Add to Task List** in the **Action plan** on Reorder radar | A reorder call for each account that's due, overdue or quiet. See [Reorder radar](https://docs.sparklayer.io/help/pulse/reorder-radar.md). |

## FAQs

**How do I get my tasks into another app?**

[Export them](#export-your-tasks) as CSV, Markdown or plain text, then import or paste them into the other app. **Microsoft To Do** and **HubSpot** are listed under **Send to** in the **Export** menu as **Coming soon**.

**Does the date range change the Task List?**

No. Tasks, messages, today's queue and the outreach plan are always as of today.

**Why did an account leave today's queue?**

It leaves once you've logged outreach to it today, unless the customer is waiting on a reply. Other accounts move up to take its place.

**Can I undo marking a task as done?**

No. A done task stays done. Add a new task if there's still something to do, or delete the done one if you don't want it on the list.

**Who can see my tasks?**

Only you, unless you share one. Tasks belong to the rep who made them. When you add a task from an account's **Tasks & Notes** tab, tick **Share with everyone** to show it in every rep's Task List.

**Can I see my tasks on another device?**

No. Your tasks and notes are saved in the browser you use, so they don't follow you to another device or browser. To take a copy with you, [export your tasks](#export-your-tasks).
