# Quotes

Track your open quotes in Pulse: see how long each has waited, set its status, amend or delete it, chase the customer and convert it into an order.

> **Pulse is in early access.** Request it for your sales team. [Request early access](https://feedback.sparklayer.io/get-started?choice=now). [Try the interactive demo](https://www.sparklayer.io/pulse/).

> **Quick summary**
>
> - **Quotes** in Pulse is your quote pipeline: what's open, what it's worth, how old each quote is and which have gone stale.
> - Each quote has a status: **Open**, **Awaiting customer**, **Accepted** or **Declined**. Open and Awaiting customer quotes count as open. An open quote goes stale once it has been open 14 days or more.
> - From a quote you can change its status, amend its lines, delete it, send the customer a reminder, or convert it into an order. Changes you make are saved to the quote in the Quoting Engine, and the customer sees them.
> - Quotes come from the [Quoting Engine](https://docs.sparklayer.io/help/ordering/quoting.md), included on Pro and Enterprise and an add-on on other plans.

A quote that nobody follows up is a lost order. **Quotes** lists every quote your accounts raised in the date range, largest first, with its age next to the day it was raised. You can see at a glance which customers are waiting on you, and which you're waiting on.

## The Quotes screen

4 tiles sum up your open quotes. The **Pipeline** table lists each quote.

| Part | What it shows / does |
| --- | --- |
| **Open quotes** tile | How many quotes are open: still awaiting a decision. |
| **On the table** tile | The total value of the open quotes. |
| **Oldest open** tile | The age in days of the oldest open quote, with its number and account. Click it to open that quote. |
| **Gone stale** tile | How many quotes have been open 14 days or more (**open 14+ days**). |
| **Pipeline** table | One row per quote, largest first: **Quote**, **Buyer**, **Raised**, **Age**, **Status**, **Lines** and **Value**. Accepted and declined quotes are greyed out. 20 quotes a page, with **Previous** and **Next**. Click a row to open the quote. |
| **Age** | Days since the quote was raised, such as **9d**. A stale quote shows **stale** in red, such as **16d · stale**. Hover over the age to see how it was counted. After you send a reminder, the date you chased it appears here. |
| **amended** | Shown next to a quote number when its lines have been changed since it was raised. |
| **Status** filter | Show quotes with one or more statuses. The menu shows how many quotes have each. |
| Search | Type a quote number or an account name (**Quote or buyer…**). |
| **Download CSV** | Saves every quote in the table, with your filter and search applied, as a CSV file. |

Click **Open quotes**, **On the table** or **Gone stale** to list the quotes behind it, largest first.

### Quote statuses

Each quote has 1 of 4 statuses:

| Status | Meaning |
| --- | --- |
| **Open** | No reply yet. |
| **Awaiting customer** | With the customer: you've done your part and you're waiting for them. |
| **Accepted** | Off the pipeline: the customer has said yes. |
| **Declined** | Kept for the record: the customer has said no. |

A status you set in Pulse is saved to the quote in the Quoting Engine, and the customer sees it.

## Change a quote's status

1. In Pulse, click **Quotes** in the sidebar, then click the quote.
2. Click the status next to the quote number.
3. Choose **Open**, **Awaiting customer**, **Accepted** or **Declined**.

**More detail**

Accepted and Declined quotes leave the open totals and the **Gone stale** count. They stay in the **Pipeline** table, greyed out, so you keep a record. The change is added to the quote's timeline and saved to the quote in the Quoting Engine, so the customer sees the new status.

## Amend a quote

1. Open the quote and click **Amend** above its lines.
2. Change a quantity with the **−** and **+** buttons, or type a new one.
3. To take a product off the quote, click the bin icon on its line, or lower its quantity to 0.
4. Check the new total, shown next to the old one, then click **Save changes**.

**More detail**

You can amend open quotes only (**Open** or **Awaiting customer**). Amending changes quantities and removes lines: it can't change prices or add products. If you remove every line, saving asks you to confirm, then deletes the quote. Click **Cancel** to leave the quote as it was. Your changes are saved to the quote in the Quoting Engine, so the customer sees the new lines.

## Delete a quote

1. Open the quote and click **Delete quote**.
2. Click **Delete quote** again to confirm. The quote is deleted from the Quoting Engine too, so the customer no longer sees it. This can't be undone.

To keep a record of the quote, set its status to **Declined** instead of deleting it.

## Send the customer a reminder

1. Open the quote and click **Send reminder**. On a stale quote the button is highlighted.
2. Check Pulse's draft, which lists the quote's lines and total, and click **Copy**.
3. Paste it into an email to the customer and send it from your own mailbox.
4. Back in Pulse, click **Mark as sent**. Pulse adds a task to check the quote in 3 days, and the button then reads **Chase again**.

**More detail**

**Send reminder** is only shown on open quotes. Pulse doesn't send the email for you. For what the draft contains and what **Mark as sent** records, see [Send a reminder](https://docs.sparklayer.io/help/pulse/records.md#send-a-reminder).

## Convert a quote into an order

1. Open the quote and click **Convert to order**. Pulse opens the order builder, signed in as the customer, with the quote's lines at the quoted prices.
2. Check the order and place it.

**More detail**

**Convert to order** is only shown on open quotes. Converting doesn't change the quote's status: set it to **Accepted** once the order is placed. To start a separate order for the same account and leave the quote as it is, click **New order for** and the account's name instead: it opens an empty basket. See [Order for a customer](https://docs.sparklayer.io/help/sales-ordering/order-for-a-customer.md).

## How the figures are worked out

| Figure | How it's worked out |
| --- | --- |
| Which quotes are listed | Quotes raised in the date range. Widen the date range to see older quotes. |
| Open | A quote with the status **Open** or **Awaiting customer**. |
| **Age** | The number of days from the day the quote was raised to today, whatever the date range. A quote raised today is 0 days old. |
| Stale | An open quote that has been open 14 days or more. Accepted and Declined quotes are never stale. |
| **Oldest open** | The open quote in the list with the highest age. |
| **On the table** | The total value of the open quotes in the list. |
| **Value** | The quantity times the unit price of each line, added up. |
| Lists behind the tiles | Every open quote, or every stale one, whatever the date range. They can list more quotes than the tile counts. |

Quotes are never counted as orders anywhere in Pulse. Each quote also opens in a panel with its lines, **Quote economics** and the account: see [A quote](https://docs.sparklayer.io/help/pulse/records.md#a-quote).

## FAQs

**When does a quote go stale?**

When it's still open (**Open** or **Awaiting customer**) and has been open 14 days or more. Its age shows **stale** in red, it counts towards **Gone stale**, and **Send reminder** is highlighted.

**Why can't I see an old quote?**

The list only shows quotes raised in the date range. Choose a longer range, such as **Last 24 months**, and clear the **Status** filter.

**Why is there no Amend, Send reminder or Convert to order button?**

They're only available on open quotes. Change the status back to **Open** first if the customer has changed their mind.

**Does converting a quote close it?**

No. **Convert to order** puts the quote's lines into an order, but the quote stays open. Set its status to **Accepted** once the order is placed, so it leaves your open totals.
